Submission Guidance Video Leads to Smoother Submission Experience

A new video offers to smooth the route to paper submission.

As part of the preparations for our various special issues, I’ve been working on some new advice for submitting authors on the practical steps they need to take. I strongly believe in diminishing as many of the mechanical barriers to submission as possible, and offering a stepwise guide is one way to address this. While I might not be able to tweak the underlying OJS code on which we run Exchanges[1], there are still at least some ways I can try and make the submission experience easier.

Case in point: While writing the two page ‘here’s what you do next’ guide for the authors, I found myself thinking ‘I wish we had a handy video talking people through the steps involved in manuscript submission’. Such a compulsion might be a holdover from my long-ago days as an academic librarian – I wrote so many printed and media guides back then – but as I said, any barrier is a barrier too many in my book (journal). I thought this would be an easy task, maybe taking a couple of hours or so at most to script, record edit and share.

You see, as part of the process of writing and creating the guide I had to go through the actual submission process myself with a dummy paper. I have to do a submission when I add the editorial each issue, but I generally don’t pay a lot of attention to what I’m doing – just need to get the paper into our workflows! However, this time going through the process more carefully, and observing each aspect was really helpful because it caused me to notice a couple of elements of our ‘submission wizard’ [2] which I wasn’t happy about.

One of them was the wording on our clickthrough publishing licence’. The phrasing here seemed less than clear in places, and I confess I suspect no one has looked at this since the journal first launched. As a result, after a little fiddling around on OJS I found where I could edit and revise them. Hopefully, now the phrasing is better than it was – let me know your thoughts on this if you have them.

I also discovered a strange glitch which was restricting the article submission types which were visible to non-editors. This isn’t too much of an issue in the editorial process, as we can shift the type easily – but at submission, I suspect this might be off-putting to an author. As I normally look at the site in ‘uber’ editor mode, this is the sort of detail which is easily missed too. In preparing for my video though, I switched to my alt-author account which as a result highlighted the issue! It appeared from what I could see that the article type categories available to authors clearly weren’t as they should be – with some options not displaying – and others erroneously still showing.[3] Certainly, they were far from clear and as far as I was concerned – a barrier to submission!

My apologies to our authors if you’ve experienced this glitch! I’ve no idea when it arose – I’m hoping it’s not been too long, but I have my suspicions. Nevertheless, I can assure you it’s been cleaned up. Now, the options to submit are in our five major formats: peer-reviewed article or review, and editorially revied conversation, critical reflection or book review.

Phew.

With this sorted (and despite a computer that insisted in BSODing me once) the new guidance video still went live last week. And while this might have all taken me much longer than I anticipated to resolve, hey, at least it also means I had an opportunity to hopefully streamline the submission process slightly.

Experiential Learning Impacts for Post–Graduates within Scholar–Led Editorial Practice

Today I attended the Interdisciplinary Learning and Teaching Conference: 'Interdisciplinarity: Learning from Each Other', hosted online by IATL. I was supposed to be delivering a paper entitled Experiential Learning Impacts for Post-Graduates within Scholar-Led Editorial Practice, but sadly technical challenges were to frustrate my live performance. A real shame, as the twin pleasures of delivering a conference paper are in the transmission of information to the audience, but crucially, the comments and questions which follow. As an author I was talking to recently commented ‘It’s about testing the water, refining your ideas and exploring possibilities with your peers’, which is truly an invaluable experience.

Not to be entirely frustrated, having slaved over the content during the Easter break, I recorded the narrated slides. So you can enjoy fifteen minutes of me talking about Exchanges, our associate editors and some of the challenges we face as a journal. The link to YouTube can be found below:

Keeping In Touch and Engaged with Exchanges

Good morning Exchanges contributors, readers and wider community. I thought it was worth briefly highlighting the various ways you can engage with Exchanges and our team, especially given the currently complex and changing international situation. Albeit currently, we’re limited to these being all at a distance.

Firstly, and most importantly, for potential authors looking to talk over a submission, then our Editorial Board members can always be contacted for initial discussions (https://exchanges.warwick.ac.uk/about/editorialTeam). Naturally, you can come straight to myself as Chief Editor, especially if you’ve got something more unusual in mind (e.g. a potential special issue!).

Secondly, if you’re a Linked.In user, and you’re looking to bolster your personal career profile and information on publishing opportunities, then you should join our group (https://www.linkedin.com/groups/12162247/). It’s where all the key announcements from Exchanges are regularly posted, and importantly it’s a fairly low traffic group, with maybe a post a week, so you won’t be overwhelmed with information.

Undoubtably, the best way to get with the journal involved is contribute material for future issues. You’ll find our current calls on our announcement pages (https://exchanges.warwick.ac.uk/announcement). Remember, Exchanges take peer-reviewed articles but also interviews, essays and critical reflections, which while they are still subject to editorial scrutiny before acceptance can see publication faster. They’re also incredibly popular items with our diverse, global audience too, and a great way for new authors to add a publication in a quality title.

We also have a twitter feed: suitable for scholars of all disciplines & interests (http://www.twitter.com/ExchangesIAS). It’ll keep you at the forefront of news, views and opportunities at the journal. Hopefully, you already follow us, but we’re always keen for more early career and post-graduate researchers to join us. We’re stronger together, and it’s a really engaged community we’re building.

Then there’s this blog…which you’re currently reading (https://blogs.warwick.ac.uk/exchangesias/)! Every other week (and more frequently as time allows) our EIC writes about the journal and developments behind the scenes. Comments and discussion are always welcome on our open forum.

It’s worth remembering too, that Exchanges is published through our existence as part of Warwick’s Institute of Advanced Study (https://warwick.ac.uk/fac/cross_fac/ias/). This means there are many other ways to get involved with activities within the IAS and Exchanges, albeit virtually for the time being).

Exchanges: The Motion Picture

A few weeks ago, I was approached by a fellow scholar over in Warwick’s School of Law, who was running a conference on Plant Variety Protection. Now, while I have considerable knowledge in the field of IP, I confess the biological side of things is not one of my strengths. Thankfully what they were enquiring about, was whether I’d like to come along to the conference and speak for a few minutes to the delegates about Exchanges and what we do as a research publication. Naturally, because I will always jump at the chance to speak to people about scholar-led publishing, this was a fabulous opportunity which I was very keen to attend. That is, until I checked my calendar and found I had an unskippable day-long conference planning meeting in Birmingham wearing my Mercian Collaboration hat the very same day.

Having sent my regretful apologies and an offer of some printed literature, it was at that point my delightful colleague suggested if I couldn’t be present, would I perhaps like to send a video along about Exchanges for their delegates. Notably, there had been a video about Exchanges produced in the very early days, which had remained on the front of the IAS’s Exchanges page since then. To be fair, while clearly well intended at the time, today it was pretty outdated content, and certainly not something I wanted to reuse in 2018. I’ll confess one of the first things I did when I took over the running of the title was to take the video link down, as part of my initial re-write of the pages.

Hence, this approach proved to be the spur to action I needed! Having more than a decade long heritage of producing videos, podcasts and audio-plays in my professional and personal life, audio-visual media isn’t a medium I’m unfamiliar with producing. Moreover, I’ve also been having some initial discussions within the IAS (Institute for Advanced Study) about how we could incorporate, explore or exploit visual media in some way under the Exchanges banner. Very early days at the moment on this initiate, so I can’t as of yet go into more details, but as and when, I’ll talk about it more here. Consequently, producing a brief video about Exchanges would provide a handy proof of concept for our plans, along with providing a useful additional promotional tool.

With any luck the video will have had its world-premiere today to a (hopefully) engaged audience, and I’ll be adding it to the IAS Exchanges pages next week. But that doesn’t mean I can’t give my loyal blog reading audience a sneaky preview. So, here it is, the snappily titled Exchanges Promotional Video Summer 2018. As always, I’d be interested in your thoughts about this, and how video can be used within a quality assured research dissemination environment.
