Journal Server Upgrades for Future Developments

The week beginning 2nd September sees changes to Exchanges server and potential brief downtime.

Due to a planned server migration for Exchanges, and the other Warwick University Press Journals, during the first week of September there is a possibility that access to the site may be restricted. While we’re awaiting an update to learn more about the exact timings – I suspect it won’t be across the entire week – I thought it was worth highlighting the issue for all our author and reader community.

Practically, what this means is that there may be periods of time during the week beginning 2nd September when readers, reviewers and indeed editors (and myself) won’t be able to either login or access Exchanges. Our apologies in advance for any issues this creates, but as we’re out of term time our hope is that this is the least disruptive time to stage this work.

As it happens the reason behind this work is due to a migration of the servers on which all of the WUPJs are mounted, and an incoming new company who will be looking after hosting, maintaining and supporting the service. This is quite exciting to hear, as it looks like this opens up the potential for enabling future platform developments and improvements for the journal. We’ll be working with our colleagues in the University Library and other journal editors to explore this in the coming weeks, and doubtless I’ll have more to share on the subject once I have it.

In the meantime, our thanks for bearing with us as we go through this transitionary phase!

Submission Guidance Video Leads to Smoother Submission Experience

A new video offers to smooth the route to paper submission.

As part of the preparations for our various special issues, I’ve been working on some new advice for submitting authors on the practical steps they need to take. I strongly believe in diminishing as many of the mechanical barriers to submission as possible, and offering a stepwise guide is one way to address this. While I might not be able to tweak the underlying OJS code on which we run Exchanges[1], there are still at least some ways I can try and make the submission experience easier.

Case in point: While writing the two page ‘here’s what you do next’ guide for the authors, I found myself thinking ‘I wish we had a handy video talking people through the steps involved in manuscript submission’. Such a compulsion might be a holdover from my long-ago days as an academic librarian – I wrote so many printed and media guides back then – but as I said, any barrier is a barrier too many in my book (journal). I thought this would be an easy task, maybe taking a couple of hours or so at most to script, record edit and share.

You see, as part of the process of writing and creating the guide I had to go through the actual submission process myself with a dummy paper. I have to do a submission when I add the editorial each issue, but I generally don’t pay a lot of attention to what I’m doing – just need to get the paper into our workflows! However, this time going through the process more carefully, and observing each aspect was really helpful because it caused me to notice a couple of elements of our ‘submission wizard’ [2] which I wasn’t happy about.

One of them was the wording on our clickthrough publishing licence’. The phrasing here seemed less than clear in places, and I confess I suspect no one has looked at this since the journal first launched. As a result, after a little fiddling around on OJS I found where I could edit and revise them. Hopefully, now the phrasing is better than it was – let me know your thoughts on this if you have them.

I also discovered a strange glitch which was restricting the article submission types which were visible to non-editors. This isn’t too much of an issue in the editorial process, as we can shift the type easily – but at submission, I suspect this might be off-putting to an author. As I normally look at the site in ‘uber’ editor mode, this is the sort of detail which is easily missed too. In preparing for my video though, I switched to my alt-author account which as a result highlighted the issue! It appeared from what I could see that the article type categories available to authors clearly weren’t as they should be – with some options not displaying – and others erroneously still showing.[3] Certainly, they were far from clear and as far as I was concerned – a barrier to submission!

My apologies to our authors if you’ve experienced this glitch! I’ve no idea when it arose – I’m hoping it’s not been too long, but I have my suspicions. Nevertheless, I can assure you it’s been cleaned up. Now, the options to submit are in our five major formats: peer-reviewed article or review, and editorially revied conversation, critical reflection or book review.

Phew.

With this sorted (and despite a computer that insisted in BSODing me once) the new guidance video still went live last week. And while this might have all taken me much longer than I anticipated to resolve, hey, at least it also means I had an opportunity to hopefully streamline the submission process slightly.

Becoming a Peer Reviewer with Exchanges

I contributed to a very enjoyable seminar and workshop yesterday focussing on becoming a peer reviewer, targeted mainly at Warwick's STEM post-graduate researchers (PGRs). As I've been recently updating and re-formatting the guidance Exchanges gives to our peer reviewer community, it was a rather timely opportunity to talk with some emerging scholars about their own reviewing experiences. Alongside this, it was also a great opportunity to hear from some of my Warwick colleagues who are also involved in other journals’ editorial processes and research funding panel review boards. I’ll blog about my reflections from this part of the event, in a subsequent post.

One thing which came out of the event was a reminder that it’s not always obvious how to register with Exchanges as a potential member of our peer review community. Becoming one of our peer reviewers, is a role where we’re keen to recruit any qualified member of the global Academy willing to participate: from professors down to PGRs, all are welcome. At Exchanges, we often tend to use quite experienced reviewers alongside less experienced ones, which in some respects provides the same nurturing development we offer to emerging and new authors who publish with us. I certainly believe early career researchers (ECRs) and PGRs can often be most discerning and insightful reviewers. Their hunger for knowledge and relative freshness of exposure to aspects of the literature, often give them a keen eye for detail along with an excellent breadth of view. Having been peer reviewed by just such a community of newer scholars myself in recent years, I can certainly report the experience was a positive one; even if they didn’t always see eye-to-eye with me on aspects of my particular paper.

All of which leads me to the question: how does one register as a potential peer reviewer on Exchanges? Well, it’s a simple online process [1], as detailed below.

  1. Firstly, go to: https://exchanges.warwick.ac.uk/user/register.
  2. Next, fill in your details and click on the Yes, request the Reviewer role option [2].
  3. Then fill in the box which appears with key words of your area of scholarly interest. How you define this interest might be as broad as engineering, biology or cultural studies. Alternatively, you might want to enter a range of (comma-separated) keywords such as nano-scale processes, electrical engineering, materials science.
  4. Then finish off the required information on the form and finally click Register.

Congratulations! You’ve just joined the Exchanges peer reviewer community[3]. When we get papers which are in your potential area, myself or one of my Editorial Board will then get in touch to discuss a potential reviewing assignment. And believe me when I say, we’ll be very grateful for your contribution to maintaining Exchanges’ quality assurance and academic standards.
