Knowledge and asset management

Knowing the principles of asset management and knowledge managemnt is very important for any company. Managing your asset effeciently means low wastage and reduced cost. Throughout the groupwork , i have learnt a lot about its principles and benefits. This allowed me to see some opportunities in my work place, where the basic guildlines of asset management are applied, yet could be improved more. Also, knowledge management is the proccess of capturing, sharing, evaluating knowledge which include people and IT systems. I saw how important is the knowledge management is and now i really appreciate what my company is doing to improve its knowledge management systems. Have i known these principles before, i could have suggested some of the techniques i know by now. KM and AM have many advantages and benefits that companies should value in order to gain the most of them and link them with the guildlines that EFQM has would increas these results and values .

situation awareness

Situation awareness is one of the important factor to consider in organizations context. I have not known that it is a science and there are many studies about it. Being aware of what’s around you is the basic definition of it. Being aware about what’s going on you and being able to interpret and anticipate things. Knowing the process of situation awareness and knowing the errors and factors related to it is very essential for mangers so that they know how to tackle the problems in the work place. How to find the proper solutions. Knowing the principles associated with situation awareness would help in diagnosing the current problems and finding proper solutions. When I think about these factors, I go back and think what if I have done what I have done in different way. What could have happened? My duty to take these principles to my work place and make the others aware of the various factors and errors. It is always useful to ask myself or other to ask themselves before taking any decisions the question of what if. It opens your mind to things that you might not thought about them at the first place. Also, knowing that they are different stages and different errors in situation awareness help in applying the exact cure to them and the organizations know what tools to use to overcome them.

Leadership PMA

One thing I learnt from the PMA process is that you should allow some time for peer review. I mean making someone else to check your work for certain tasks such as grammar mistakes and content is really helpful. It gives u the chance to see your work from different perspective. So, any task I do in the future, I would try to get others point of view on it. In addition, there are certain things that I should keep on mind. One is that be aware of any changes on the original ideas the comments might have. Second, the person who is committing is professional in what he or she is doing.

I am always now allowing some time to review the work myself even if I finished my work earlier, so i have enough time to improve it.

Robust Decision Making (group work week)

When you get in analysing real data, there are many things to keep in mind. During our group decision, I have learnt many things. First, I learnt that in decision making process, you should set up boundaries and focus on the main objective you have. All tools you use later and thoughts should be linked to this objective and limited to these boundaries. Also, during the group decision, we went so far identifying the criteria to consider in analysing the location and market. As a result, sometimes we were lost and sometimes we were unsure of what we are doing. Later, we put some boundaries and we thought based on those limitations, which helped us to focus more on the subject. Also, having a group work helps in generating thoughts very quickly. Besides, it helps you think about the situations from various angles. Moreover, I learnt that in order to make the decision robust, decision makers should use multi decision tools and do not rely only on one tool. The numbers of tools are up the group to decide. So, if the group are ok with five, then we use five. Use the tools until you are satisfied with the results you have got. Robust in not only about a current decision you take, but also, future outcomes and sustainability of these outcomes. The more we make the decision robust, the more sustainable it is. Finally, use the tool that suits the situation you are facing. Using the wrong tool for the wrong decision making process makes you weak decision and biased outcomes. Also, decision makers should keep in mind the weakness each tool has and put the proper actions to overcome them.

still more to learn

While investigating the various theories of leadership, I have noticed that there are many similarities. They have somehow the same concept. Yet, what really I admired from the reading I did is that it opened my mind to the different perspectives of leadership. I concluded that a mix of these theories should be practiced and thought about. For example, we can get some principles from the transformational theory, where it suggests that leaders should have the ability to inspire and lead toward a shared direction or goal. Also, we can mix it with the principles of organic leadership approach, where it promotes a shared culture and the vision is owned by all the leaders and the followers. The point here that I am trying to mention it that leaders should consider the different approaches of leadership and try to mix them together in order to be able to lead organizations with taking into consideration all the aspects of leadership.

Rubost decision making – in module learning

i did not know how much bad our decisions were, or how much errors and problems were in the decisions i made until the lecture about judgment. I learnt there are many problems and baises associated with the decisions we take. Failing to recognize these baises may lead companies to make bad decisons and evenually lose competetive advantage they might have. The aim of studying these problems is to be aware of them and minimize as much we can the baises we have in our daily decisons . All these problems are related to the fact that we tend to use our system 1 thinking, which is our concious thinking , dealing with the situation based on a preprogramed set or a past experience. Also, the aim of this lecture is to understand when to use system 2 thinking and when not to use it. To make it clear, some of these problems are the problems such as imagining things that are not there, following a particular patterns that you think it should be like that but it is not, creating false frames , etc ... Addressing these problems and overcoming them is very critical for taking the right decisions with less errors in business. To overcome these problems , there are various tools to help decision makers in that. Ranging from the classical methods to the Computerized methods. All these methods differ in use based on the situation and the problem the one is facing. For example, if the problem concerns about risks , then the suitable method would be risk analysis , or if the problem requires a simulation to be done , then the simulation method could be suitable.

Look at every situation from all sides and evaluate it based on rational thinking, consider all alternatives, and then take a decisions using various available tools.

coaching as a leader

I think one of the most important skills that leaders should have is the coaching skill. I don’t mean coaching as it is well-known, especially in sports. The coaching we have studied is the opposite concept of the coaching I already know. What I know about coaching is managing a team and provides them with the necessary solutions in order to overcome all the obstacles they face. However, the new concept of coaching we learnt this week, is the process of helping a coachee to overcome a problem, by making him or her figure out what the solution is, not providing the solution by yourself as a coacher. I think coaching can make the leadership process more professional. it gives the leader the chance to have an overview of the situation before jumping into conclusions. It also removes any dependency on the leaders in terms of problem-solving and making the employees have the confidence to solve their own employees.

Stop solving other problems and taking life on your shoulder. Only then you can really live your life and enjoy.

leadership thoughts

When you think about leadership, you think is an easy concept, but once you practice it, you know it is real hard. The hardness is not in understanding the concepts around leadership, but in the effective implementation of these concept. which style you apply based on the given situation. should I be democratic or autocratic? should you be involved or step back? The ability to evaluate the situation effectively and act based on that, is what determines a good leader.

Also, an important concept to apply in the leadership context, is that making your people solves their own problems, and not providing them with the direct solutions. your role should be only leading them toward the answer, providing them with the tools, and without interference.

something i really appreciate from this meetings and teamwork, is that you see things that yourself can't see. it is a power source of information that you get in one place and helps you in developing your ideas. besides, it gives you the power to finish the work with less time and effort.

Involvement and Teamwork is very essential that business should take care of in the strive for success.

The winning strategy exercise

Being a leader makes you feel under pressure and that the success of the team is only on you. Although this is what i felt inside myself, my team members thought i am not under pressure, which i think i managed well.

There are couple of things i personaly thought i did not do, but my team members thought the opposite, which makes me think again and try to be fair when assessing myself.

Many things i should be focusing on next when leading:

1- creating a clear goal and direction for the team.

2- setting the ground rules at the beginnning.

3- feedbacking for all the opinions that are presented.

New important outcome from the leadership introductory class today is that leadership is percieved differently. it is up to the criteria that the person wants in the leader they follow. so, my taste of a leader differs from others based on the characteristics i want in the leader.

Also, it could be seen from the way around. leadership is knowing how to understande each indivdual and communicate your believe effectively.

So, understanding the followers' needs is what differentiate a real leader from another and real leader who knows how to unleash the motivation factors from his or her followers.

targets could be deceptive

Companies always put targets to acheive in order to improve thier process and performance. these targets could be miss leading and could make managers make false conclusions. Targets might include some waste that are not seen. when there is a target that has a upper limit and lower limit and employess are told to keep their perfomance inside that interval. Then, employees might slow down thier work in order not to pass the target. this hidden waste can cause problems and waste time in the process that are not seen unless employees make the process run smoothly.

Acheiving the targets does not mean that our process is full capable. Capability should be checked seperately.

the power of Motivation

We all know that motivation is the most critical issue for any organization . how to make our employees all the time motivated, and how do we motivate them at the beginning?

After doing the the experiment or the acitivily in yesterday's class, where we were asked to manufuture a plane with 7 process and we did that in a group. once you be in the process, you feel the process and you feel that you are a part of it. to make it simple, the more you are involved in the process, the more you engage in it and the more you are motivated to do it and put even more than required in it. if organizations succeed in getting thier people to feel as they own or poss the process they do, only then we can get the optimal level from them.

Another important factor of motivation is knowledge, if i have enough knowledge to deal with a certain subject, i will be more intereted in doing it, vice versa. Having the knowledge about DMAIC has motivated me to work more in the process. organizations should not only give tasks to people, but also give the tools and the knowledge required to do it.

I love experiencing the knowledge myself, rather than getting it ready-made.

Six sigma

Another important week, another week in the journey to excellence, another week to add new information.

This week started with no idea about six sigma, and now i have got the basic knowledge about it. I am really enjoying this journey.

Six sigma is not a perfect apporach to TQM and it depends on the perceptions to it. Some authors link six sigma with the systems of profound knowledge to overcome the limitations of six sigma and get the most of it to help in the transformation of organizations to excellence.

Managers should be aware of these limitations of any system or tool. It is not about following the fasion, it is about getting a real benefit from the approaches we are applying.

throught the work of the first PMA, i have learnt many things and here are some of them that might you guys:

leave your work for some time

leaving the work for a period of time and comming to it again, helps you in the development of ideas. when you come to it next time, you will find yourself adding to it new ideas and developing it more and more. also, this helps in the PDSA cycle( feedbacks the plan and the process again)

read , read ,read !!!

if you want to gain more information and be familair with any topic, read more about. the more you read the more knowledge you get. no matter how much you think yourself you have got about the topic, when you read more, you would find that there are more and more to learn about the topic.

in doing my first PMA, i am trying to use the concept of PDSA.

1. Plan ( desinging a mindmap, reading, searching for the knowledge ).

2. Do. ( i wrote some of the ideas regarding the answers for the PMA questions).

3. Study ( leave my work for this day and come for it next day, for reviewing)

4. Act. ( correct any mistakes from my review).

and the cycle goes around again.

i am still strugging in managing myself the time i have got. i need really to change this behaviour. i will always continue to use the timetable and learn from what i have got wrong

i think i will have hard time in dealing with the first PMA, but i believe that the first step is always tough, but it i will become much easier with the second and the other PMAs.

no GAIN , without PAIN.

Learn and Move forward

it is always good to learn from your mistakes. it is good when you percieve a mistake as a chance for improvement.

there is no such a failure in life, it is only a feedback about a specific performance at that time. if you get a low mark , don't take it as a failure, take it as an opportunity to change and improve. this is how i think about mistakes or feedbacks.

Learn from it and move forward to improve yourself.


something will help anyone in developing or improving is sharing ideas with other, discuss, talk to others about what you learned today or what you have done so far in your day. Exchanging ideas is a powerful tool. every thought even if it small is valuable... don't ignore it.

Follow-up to CBE : Creating Business Excellence from Saif's blog

I really like the concept of EFQM. what I simply can say about it is that EFQM is explaining excellence or continuous improvement basen of the 8 fundementals. so, any organization wants to be an excellent one, they should integrat that 8 fundementals inside the organization. The detailed ideas of what the organizations should consider in the application of these 8 principles are then put in framework ( EFQM model). this framework is divided into two parts , enablers and resutls.

the Enablers and results, in total, are 9 criterion, then each of this criterion is divided into parts that the organization might consider to make full practice of that criterion.

for Example, lets take the criterion 1, which is about leadership , it expanded into 5 parts that concern leadership, link this criterion with others , in which they are representives of some of 8 fundementals : see below

1a. Leaders develop the mission, vision, values and ethics and act as role models.

1b. Leaders define, moniter, review and drive the improvement of the organization's managment system and performance.

1c. Leaders engage with external stakeholders.

1d. Leaders reinforce a culture of excellence with organization's people.

1e. Leaders ensure that the organizations is flexible and managers change effectively.

ok, after the practice of these 32 parts of the criterion, how do we know that we applied the concepts correclty or where do we stand from the standards of excellence?

here comes the use of radar. Radar is managment tool that help organizations to assess themselves to know their position in excellence. to make it simple, I think Radar is a tool to tell organizations how much they understood of the 8 fundementals and applied inside thier organizations.


Radar could be a tooll to guide organizations from where to start. so, i would build my enablers and results criterion based on the radar logic from the start.

What i really like about EFQM , is that it shows a holistic picture of an organization, links all the parts of it together, so it is eaiser for top management to see the stregths and areas for improvement inside the organizations, and helps in creating sustainable enviroment for continuous improvement.
