Minutes – Second Half CLSP

Meeting 1 Friday Week 10
Members Present: ALL
Meeting was held, every group member put forward their suggestions on what the 2 scenarios should be:

– A vote was taken and a shortlist of scenarios was made
– A list of the work that would need to be done was made
– Each team member was allocated sections of work to do
– Emails were sent later on that day to confirm what exactly every one was doing, and stating the deadlines for each of the areas of work

Adhoc "Meetings"

– Email correspondance was kept troughout the holidays, everyone meeting the deadlines they were previously set
– By the end of the holiday most of the work had been compiled

Meeting 2 Wednesday Week 11
Members Present: FIVE (-ONE due to Holiday)
Meeting was set up, to which all team members but one were present, all the work done over the holiday was assesed here

– Talked on what was to be included in the presentation, and which details were to be deferred to the report
– Further deadlines were set for work that had not yet been completed

Meeting 3 Thursday Week 11
Members Present: ALL
Another meeting was set up, here the powerpoint presentation was put together and more deadlines set, to fill in all the information pockets in the presentation

– Layout of the powerpoint presentation was drawn up, with average timings of the sections
– Members were allocated certain parts of the presentation to talk on
– Holiday work was being compiled to give a full report
– Work set overnight, to finalise the powerpoint slides for individual part of the presentation

Meeting 4 Friday Week 11
Members Present: ALL
Final deadline for powerpoint presentation and report, meeting was set up for all team members to review the presentation and the report.

– First run-through of the presentation as a whole, the conclusions were then shaped around the time constraints and the points raised in the presentation
– Everyone was given another job to have ready for the meeting on Saturday, either to compile / format the report, or compile / format the powerpoint presentation

Meeting 5 Saturday Week 11
Memebers Present: ALL
Final drafts of presentation and report were presented, and extra handouts also presented.

– Cutting of certain parts of the presentation due to time constraits, streamlining of the presentation as a whole and making sure that there was a clear flow throughout
– Run-through of the presentation three times to make sure everyone knew their queues and when to progress to the next slide

Meeting 6 Sunday Week 11
Members Present: ALL
Numerous run throughs of the presentation

– Report compiled and formatted finally
– Addition of the very last slide of the presentation to chart the thought process we undertood to reach our conclusions
– Consideration of questions we could be asked, and possible responses were discussed
– Final preparations made for Monday morning
