Least but not last

This is last formal blog for KBAM and also last formal blog for MBE. Druing past two weeks i talked about many about KM and AM. It is may enough for this module and therefore i want to talk something different, what KBAM bring to me.

Honestly, i am quite lazy guy. Most of pma i finished in 2 to 3 days, just before deadline and some even finish before half an hour ago of deadline.Even i think those PMAs are unconvincible and lack of much effort. However, KBAM changed me and i start work two weeks ago. Read article, think about them and just write few words everyday. When i looked the finished work, it is quite different. I realized this is what paul said "critical thinking", at least for me.

During begginning of MBE, i was introduced and talked continuous improvement thounds times. I know it and never tried by my own williness. It may be quite late. But now i enjoy it. KM is not the thing we should obey and it is part of life or way of life. It may be why waseem can continous write blog every week even without module enquire. As my last two moudle, KBAM like a chian to link everything i leanrt before . KM and other management methods, tools and philosiphy create a system to enhance performance. During the study i enhance myself as well.

Knowledge is update and genearate everyday and old knowledge is no longer validate. Therefore every individual and organisation need to update their knowledge as well. KM is just a form. What I really need to learn is idea of KM, a way to continous improvement myself. KBAM and MBE create learning environment, teach me core value of methods, tools and phlosiphy and encourage me to transfer this knowledge into my own tacit knowledge. I may realized it late. But it is useful to me and my further career. Thanks KBAM

This is my last formal blog and but i hope and i will continue to write more infromal blog. Continous improvement what i learn, share my knowledge to others and hope my experience could be helpful. Thanks KBAM, thanks MBE.

Knowledge management information syste (KMIS) is IT system to effectively and efficient generate new knowledge and transfer knowledge. The major applications of KMIS are

  1. coding and sharing of best pratices and knowledge
  2. Creation of knowledge networks
  3. Creation of corporate knmowledge directiories

Based KMIS features, KMIS can eaisly help tacit knowledge to transfer into explicit knowledge throught codified and model them. KMIS also build "pipe" to help knowledge transfer more quickly. In KM, it is important that knowledge can transfer into correct place where it really need the knowledge. KMIS is the way to achieve it.It is also the base for generating a new system of explicit knowledge and transfer them in whole organisation.

Knowledge management system (KMS) aims to help organisation to set structure for knowledge management. It has three major approach

  1. Top-down (Centralized)
  2. Bottom-up (Decentralized)
  3. Middle-up-down

Top-down model concentrate more on socilaiztion and externalition (Knolwedge conversion modes) and Bottom-up pay more attention on Combination and internalization. Middle-up-down combined above two models. Each of them has their unique advantages and disadvantages. From my view, i prefer to Middle-up-down model to set KMS. Because it can provide holistic view of KM and maximum KM's ability. However, it cost is also most expensive. I still believe there is no absolute answer for management. It is only right decision based organsation's situation. Therefore, any organisation can launch successful KM after consider their situation and choose best practice for them.

Knowledge conversion modes

Tacit and explicit knowledge, whcih one is important?? Non. How to transfer them and easily transfer them from one to another is important.Knowledge has four different conversion mode and they are tacit to tacit (socialization), tacit to explicit (externalization), explicit to explicit (combination) and explicit to tacit (internalization). The most of organisation stay in level of socialization and externalization and some organisations even stay socialization level. Socialization is knowledge only capture from observation by individual and transfer without any communication. This is basic conversion mode of knowledge transfer. However, this cannot effectively help organisation implement strategy. Without combination, explicit knowledge cannot generate a complete and new knowledge. Therefore KM is just sharing knowledge and it cannot create new knowledge when sharing knowledge. Without internalization, new knowledge cannot understand by individual. Therefore a knowledge system of socialization, externalization, combination and internalization is improtant for organisation when it launch KM and use KM to support other strategy.

  1. Socialization-process that individual or organization capatured from observation and it can collect knowledge directly from others without any communication
  2. Externlization-tacit will transfer to explicit thrgouh dialogue. individuals share experience and opinion of same interesting topics in some forms group. tacit knowledge will be model, concept and analogy and transfer int explict
  3. Combination-help organization and individual combine scattered explicit knowledge into system and add further value on existing explicit knowledge in order to coreate new knowledge
  4. Internalization-aim to transfer general explicit knowledge into specific individual tacit knwoledge. it is a process that individual to understand and transform into individual knowledge based.

Secure knowledge–Part of KMS story

In KBAM presentation, one of group made a graph to show important level of each element in KM. They tend to put protection knowledge as quite unpopular issue or probably last priority. Knowledge protection has received little attention in many literatures and real pratice.There is survey to take 307 knowledge managers about their job roles and found little or no evidence of knowledge protection issues in their jobs. Furthermore, many researchers regards knowledge as most important resource or asset. However if knowledge is determined to be the most important resource of the firm, then clearly the need to secure that resource must be a primary responsibility, isn't it?? A good debate. Lots of us pay attention on KM itself, however just like quality management requirement, who will keep "realibility" of KM ??

The other issue is protection of knowledge may inhabit KM. KM is aim to capture, gather, share and transfer knowledge. Protection is just like what we think that prohibit someone to access certain things. In order to avoid this negative effect, i think understand nature of KM and familiar different types of knowledge is very important. For example, only understand what kind of organisation culture and which type of knowledge transformation process they use and then KM team can design a appropriate and effective protection system for knowledge.

organisation culture before KM

A commnet in my old entry, he talked that even a KMS could also lead ineffective management and he said the most important issue is people. Agree and disagree as well. Before organisation launch KM, i believe organisation should evluate themselves and launch appropriate KM strategy for their particular situation. I believe that there is no ineffective methold or management too, while there is ineffective users (who use in wrong place). A article mentioned that different organisation culture will achieve different result of KM. Knowledge has different types, tacit and explicit, and different transfer process. Therefore not all of KM strategy fit every organisation. Then it hard to identify and measure KM impact and result. Firstly, knowledge is most valuable asset and however it is aslo the hardest to detect and evaluate. What can identify and measure something intangible???? Furturemore, KM may not enhance product or service, it may contribute to employee and make them more productive. But it hard to evaluate in short-term. However can we say that KM is useless?!!! Definitely not.

Knowing KM

We talk about lots of KM in module and post module. However, if objective shift what should KM do. Just read a good article which talked about KM problem when meet objective shift in long-term and i quite agree the point. The wolrd is chaging and we also meet quite different uncertainty. How do we response uncertainty? I am not talking about how KM help individual or organisation's response. I focus on KM. KM's objective could be old fashion. For example, if organisation's customer shift from one party to another party, should they coutinue to focus on old party and do research on VOC (voice of customer)?? Definitely not, organisation should change target. However, not many people realize it. If we know a right method to do something, we keep it and never judge itself.

An ancient words in china," inside people always confused and outside people can more rational and logical". It said if people stuck into something they will not rational to judge and evaluate it. Same example, KM team cannot find problem or something change for their own KM and it always some employee who is not KM team can find small change. However, if employees not understand theory and pholosiphy of KM, how can they response change??? Then KM team not only need manage knowledge and create system for KM but also need teach basic methods and knowledge about KM to relevant employee. The baisc point should be undertood by all staff in organisation:

Knowing who

knowing what

knowing how

knowing where and when

knowing why

Above point try to let everyone not only know something but also understand it, even a tool which just need to use once. Every small part could change whole picture and it is only way to be perfect.

i believe KM is not only knowing what we have but also knowing something we probably need to know. I believe this is real power of KM in today.

Fish Philosophy

KM is a system about learning and self&organisation continuos improvement. KM is about environment which leader create for everyone to gethering, capture and sharing knowledge. However, is anyone want or really do join it even there is fantastic system or environment? I am not sure. But i believe, to get a correct motivation to lead people join system of KM is very important. KM is not individual issue. I don't think it just require several people to do some complex work. For example, most of university have their individual system to sharing, gathering knowledge system in life and academic issue, such as mywarwick & mybham. However how many us use it frequently except doing acdemic business? Well, i am an old fashion guy and i don't use them until i were year 3 of my undergraduate. That's really waste resource. On the other hand, if there are many guys like me, does the fuction KM of the system is efficient and effectiveness??? Probablly this is bad case, but i want to state that everyone be included and responsbose KM is very important.

In opp module, we were introduced fish philosophy. It include 4 points-play, be there, make your day and choose your attitude. I think fish philosophy is designed for everyone. If an organsiation already had system of KM, why don't we use it rather than ignore it? It has benefit for all employee and we cannot avoid it. So be there, play and have fun. For KM team, your job is not only design system of KM but also motivate people to use it. Make their day just like yours is quite important. THis is just from my experience, e-mail or some written flyer is not enough. Bring them into system, feel it and love it. A successful leader and KM team should have this ability.

Fish philosophy is not core value of KM. But it is as important as those core concept of KM. I think every management is starting from employee, employee is key factors. If huamn issue resolved, the hardest problem already been gone.

University– KM insistution

How do we define unversity???? After studying MBE, i realise that unviersity itself is a kind of system of KM. Sharing knowledge to us is one of its function. The more important is it create a nearly real environment for us to pratice how KM work in organisation and individual. Furthermore, we need learn how to response and use it as part of KM. Abudl was talked about getting high mark in university and getting low mark in real life. I quite agree that in some situation.

Knowledge management is concerned with identifying and leveraging the collective knowledge in organization to help organization compete. It includes the ability to efficiently and effectively create, capture, locate and share an organization’s knowledge and expertise, as well as the ability to bring that knowledge to bear on problems and opportunities that confront the organization. However, many organisations in today are difficult to locate and share information properly. Knowledge management system (KMS) may be a solution or a way to effectively lauch KM into organisaion.

KMS refers to a class of information systems applied to managing organizational knowledge. They are IT-based systems to develop to support and enhance the organizational processes of knowledge creation, storage, transfer and application. KMS like a tool to support organizational knowledge management and enhance knowledge management activities of individuals and organizations. Moreover, KMS is a data storage and framework to help organsiation launch KM. The most powerful of KMS is it can gathering, process and sharing information through a certain formal system in order to effective and effcient sharing knowledge over organisation.
