Sharing references with other people

Did you know you can share your Groups (or folders) in EndNote Web with other people? You can set your Groups so that they can view any references in them, but can't edit them. All you need is their email address (and the person you are sharing with needs to have an EndNote Web account.)

  1. Within EndNote Web, click on the Organize tab.
  2. Make sure Manage My Groups is selected.
  3. Click the Share Group button next to the one you want to share.
  4. On the next screen, in the large box at the top, type the email address(es) of the person or people you want to share the group with. Note: each email address should be on a new line.
  5. Click the Apply button.
  6. A message will confirm this Group has been shared. The next time they log into their EndNote Web account, thy will see the Group listed down the left hand side of the screen and be able to view all the references in it.

Removing field codes for electronic submission

If you need to submit your work electronically, you will need to remove the field codes which EndNote Web uses to format your document.

If you are using Word 2007:
  1. Create your document and bibliography as normal
  2. When you are ready to submit it, click on Convert Citations and Bibliography and select Convert to Plain Text in the Endnote Web tab.
  3. This will create a completely new file. Save this file as normal. This is the one which should be submitted electronically.

If you are using Word 2003:

  1. Create your document and bibliography as normal
  2. When you are ready to submit it, click on the Remove Field Codes icon on the EndNote Web toolbar. This is the icon with the # symbol on it.
  3. Click OK.
  4. This will create a completely new file. Save this file as normal. This is the one which should be submitted electronically.

Note: if you want to make any further changes, you should do this using the original version of your document (the one with the references in grey shaded boxes) and then repeat the process above to get a new, final version for submission.
